TOM4 Processes
TOM4 processes are specific workflow activity management systems designed to manage every detail of activity in relation to a specific Sales activity or Service activity. The purpose of a process is to achieve an expected quality result in the fastest time and at the lowest cost. Processes may be designed to manage all types of activity and work with modules that expand the range and scope of business management.
Processes may be designed to be industry specific, in which case the processes is used by all businesses in a particular type of industry. All the users in that industry then help to improve the ongoing changes and improvements of the process by simply using the process. Good Systems are always maturing and improve as more and more Users contribute ideas and suggestions for improvement. This is why industry specific processes are the best.
Custom processes may also be developed to manage any new activity that is worth building into a system. Custom processes are not available to other business and therefore the Process is unique to the business that orders and pays for the process to be built.
TOM4 Processes are valued according to the cost of development and ongoing support. There are three TOM4 Process Costs:
Support Process
Cost to support the processes.
This is a yearly fee paid monthly to maintain the process
Custom Process
Cost to make changes to the custom process.
This is a quoted fee.
Industry Specific Process
Cost to build an Industry Specific process which is then shared between
the industry groups. This is the most cost effective solution
Processes are the most efficient method to manage workflow! Your business depends on selling products and services for a profit. How you complete the Sales or Service Process will determine what profit you make and will influence customer loyalty. Sales and Service depends on knowledge of the products and experience on how to make the sale. The best way to guarantee consistently high standards of Sales and Service delivery is through systems and workflow process.
A process is a detailed plan on how to complete a task or a project to a quality standard and every step in the process is analysed and arranged to improve quality, reduce time and lower costs. Processes will deliver the following benefits:
- Quality of work and consistent results
- Help to train new staff while working on the job
- Reduce the time taken to complete the job
- Generate customer satisfaction through confidence
- Improve profitability through productivity gains
There are often many ways to complete a job or activity but there can only be one perfect way. So how do we know what is the perfect way? The truth is we don’t because there is always a better way to do things! The more experienced you are at doing something the better it become! This is why we have developed the Industry Model. We build a business operations model for an industry group and use the experience from the group to perfect the process and model.
The industry process gets its knowledge and experience from all the users and then changes as it searches for perfection. Admittedly the trade off is a lack of individuality, however when all the facts and options are considered the Industry Process Model is the most mature and cost effective.
The moment a process changes from an Industry Model it becomes a version for an individual and the risk of additional costs and failure passes to the new version owner. This is because the new version has limited users who must pay for the changes and on going support costs. Changing a process is like choosing to take a fork in the road towards a route that has not been used before. If you were climbing Mt Everest would you stay on a known track or risk taking a new unknown track. If every step up a steep and dangerous mountain has been tried and tested before why take a risk with new steps. Your business can avoid risks by staying with proven methods that work.
Other considerations for those who want to change the industry processes:
- When you need help and support the more users who understand your processes the better.
The industry model is the same for many Users and therefore is the most mature and least cost to support. - When you go your on way you loose the knowledge and experience of the industry group.
- Who in your business will keep your process up to date and do they have the collective knowledge and experience of thousands of users. Who will have the experience to continue to support your individual process if that person leaves your business? We are not referring to development support of the process but about changes to business practice and to work flow process which requires the experience and knowledge about your business.
- When you want to sell your business potential investors will be more confident in a well supported lower cost model.
This is what TOM4 Business is about – building a model that is best value.
The purpose of this document is to encourage support from investors and users of TOM4 Business to help build management systems that return the best results to your business and users.
Good business systems and work flow improves productivity and frees time to make more sales or do other things to enjoy life!
